From a list on your desk to stock on the shelf

Most practices send us a mix of items they already know and a few they are unsure about. Here is how that turns into a written quote and a delivery, without back-and-forth over sizes and fittings.

    Send your list

    Email the items you need, even if it is a rough list with quantities. Practice managers often attach last month's order or a photo of the shelf that needs restocking.

  2. Step 2

    We check sizes and compatibility

    Glove sizes, cuff fittings, pouch dimensions, trolley heights. If something in your list will not match what you already have, we flag it before the quote goes out.

  3. Step 3

    Written quote and substitutions

    You get a written quote with the lines itemised. Where a substitute makes sense, for example latex instead of nitrile, it is listed as an option rather than swapped in silently.

  4. Step 4

    Dispatch and repeat orders

    Orders ship from Johannesburg or Cape Town depending on your province. Once the first order is confirmed, repeat items can move to a monthly standing order.

    Send a stock list by email and you get a written quote back with item codes, pack sizes and lead times. Useful when a practice committee needs the numbers on paper before approving a restock.

  • Bulk lines priced by the case

    Gloves, syringes, gauze and IV lines are quoted at case level, so a clinic that goes through several boxes a week is not paying box-by-box rates. Mixed glove sizes can sit on the same order.

  • Standing orders for repeat items

    Set a monthly schedule for the consumables that always run low, and the same list ships without a new email each time. Adjust quantities before a busy season or when a locum joins the practice.

  • Help matching sizes and fittings

    Couch dimensions, trolley heights, cuff sizes and compatible accessories are checked before the order is placed. Send a room layout or a photo and we confirm what fits before anything ships.

  • Dispatch from Johannesburg and Cape Town

    Orders are picked from the depot closest to your province, with same-week delivery across Gauteng, the Western Cape and KwaZulu-Natal. Outlying towns get a confirmed delivery window before dispatch.

What a quote from Yak Medical does and does not cover

A few points come up often when practice managers compare our written quotes against what they expected. These notes settle the usual grey areas before you send your list.

Catalogue items versus special requests

Everything listed in the catalogue is quoted as a standard line, with the pack size and unit stated. Items you ask for that sit outside the catalogue, such as a specific dressing brand or a non-standard trolley width, are quoted separately and may carry a longer lead time. We will say so in writing rather than assume.

Bulk pricing thresholds

Bulk pricing applies to gloves, syringes, gauze and IV lines once the order reaches case level, not box level. Mixing sizes within a case is allowed for gloves, but the case count is what triggers the bulk rate. If your order sits just under a threshold, we will tell you what the difference is so you can decide.

Delivery windows by province

Same-week delivery applies to Gauteng, the Western Cape and KwaZulu-Natal when the order is confirmed before the weekly cut-off. Orders ship from Johannesburg or Cape Town, whichever is closer to you. Outside those three provinces, delivery is arranged but the timing depends on the courier route, and we will confirm the expected date in the quote.

Standing orders and substitutions

A monthly standing order repeats the same list on a fixed schedule. If a line is out of stock, we contact you before substituting anything. Sizes, fittings and compatible accessories are confirmed with you beforehand, so a standing order does not quietly change between months. You can pause or adjust the list at any point before the next dispatch.

How to read the quote

Each quote lists the item, pack size, quantity and the shipping point. Anything we could not confirm, such as a fitting or a compatible accessory, is flagged as pending rather than priced. Send your list to info@yakmedical.com or call 0537547939 if a line needs clarifying before you approve it.
